Privacy Policy
Last updated: March 2026
1. Information We Collect
We collect information you provide directly to us when you create an account, use our Service, or communicate with us. This includes your name, email address, phone number, agency details, and any other information you choose to provide. We also collect information about leads and property data that you input into the platform. When buyers check in via QR codes at open homes, we collect their name, phone number, email, and property interest details on behalf of your agency.
2. How We Use Your Information
We use the information we collect to provide, maintain, and improve the Service; to process transactions and send related information; to send you technical notices, updates, security alerts, and support messages; to respond to your enquiries and requests; to monitor and analyse trends, usage, and activities in connection with the Service; and to personalise and improve your experience.
3. Data Ownership
You retain full ownership of all data you input into the Service, including lead information, property details, offer data, and any other content. We do not claim ownership of your data. We process your data only for the purposes of providing the Service as described in these terms.
4. Data Sharing
We do not sell, rent, or share your personal information or agency data with third parties for their marketing purposes. We may share information with service providers who assist us in operating the platform (such as hosting providers and payment processors), but only to the extent necessary to provide the Service. We may also share information if required by law or to protect our rights.
5. Multi-Tenant Data Isolation
OpenHome CRM operates on a multi-tenant architecture. Each agency's data is logically isolated using row-level security policies. Agents and users within one agency cannot access data belonging to another agency. Role-based access controls further restrict data visibility within an agency.
6. Payment Information
Payment processing is handled by Stripe. We do not store credit card numbers or sensitive payment details on our servers. All payment transactions are encrypted and processed in accordance with PCI DSS standards. Please refer to Stripe's privacy policy for details on how they handle payment information.
7. Data Security
We implement appropriate technical and organisational security measures to protect your data against unauthorised access, alteration, disclosure, or destruction. This includes encryption in transit (TLS), secure authentication, and regular security reviews. However, no method of transmission over the Internet or method of electronic storage is 100% secure.
8. Data Retention
We retain your data for as long as your account is active or as needed to provide the Service. If you cancel your account, we will delete or anonymise your data within a reasonable timeframe, unless we are required to retain it for legal or regulatory purposes.
9. Cookies
We use cookies and similar tracking technologies to maintain your session, remember your preferences, and analyse usage patterns. You can control cookies through your browser settings. Disabling certain cookies may affect the functionality of the Service.
10. Third-Party Services
The Service may integrate with third-party services such as Stripe for payments, email delivery services, and analytics tools. These services have their own privacy policies, and we encourage you to review them. We are not responsible for the privacy practices of third-party services.
11. Children's Privacy
The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child, we will take steps to delete such information.
12. Your Rights
You have the right to access, correct, or delete your personal information. You can update your account information at any time through the Service. If you wish to delete your account or request a copy of your data, please contact us through the contact form on our website. We will respond to your request within a reasonable timeframe.
13. Changes to This Policy
We may update this Privacy Policy from time to time. We will notify you of any material changes by posting the new Privacy Policy on this page and updating the "Last updated" date. Your continued use of the Service after any changes constitutes acceptance of the updated Privacy Policy.
14. Contact
If you have any questions about this Privacy Policy, please contact us through the contact form on our website.
